Group-Loop: Smart Round-Robin Scheduling

The Origin

A local realtor needed a way to coordinate practice sessions among a nationwide network of real estate agents. The goal was to pair agents together for role-play interactions, simulating client conversations, so they could sharpen their skills with each other. The catch was that the pairings needed to be fair: everyone should get a turn with everyone else before repeating, and no one should get left out.

No off-the-shelf tool handled this well. So I built one.

What It Does

Group-Loop is a web-based scheduling application that automates round-robin pairings for groups of any kind. An administrator creates a group, adds members, and generates a schedule on a daily, weekly, or monthly basis. The system handles the rest.

Key features include:

• Fair, exhaustive rotation: Every member is paired with every other member before any pairing repeats
• Odd group handling: When a group has an odd number of members, a virtual “Wildcard” is inserted to keep pairings even so nobody gets left out
• Automatic history tracking: The system remembers every past matchup and never repeats one until the full cycle is complete
• Credit-based billing: Instead of a subscription model, administrators purchase credit bundles as needed, with each pairing costing a small number of credits. Members are never charged.

From Client Problem to Product

Group-Loop started as a solution to one client’s specific problem. Once it was built it became clear that the underlying need was much broader. Managers scheduling peer feedback sessions, teachers organizing study partners, game masters coordinating role-playing groups: anyone who needs structured, bias-free, one-on-one pairings across a group has the same problem.

The decision to generalize the solution and bring it to market as a standalone product was straightforward. Group-Loop has been live, in use, and generating revenue ever since.

Current Status

Group-Loop is live at group-loop.com and available to any group or organization that needs fair, automated round-robin scheduling.
